Customer stories Lufuno Ramabulana

“Stress-free.” That’s how Lufuno's clients describe booking a session with his South African counseling practice.

When Lufuno Lucky Ramabulana grew Royal Counselling and Coaching Services beyond South Africa, the systems he’d built his practice on couldn’t keep up. Booking was fragmented. Invoicing was manual. Every international client meant another round of messages just to sort out time zones. After switching to Carepatron, scheduling, payments, notes, and client management all run from one place, and the experience for new clients changed at the very first step.

Meet Lufuno Ramabulana

Lufuno is a mental health and wellness counselor based in South Africa. He runs Royal Counselling and Coaching Services as a solo practice, working with individuals one-on-one, supporting international clients across time zones, and delivering structured employee wellness programs for organizations. Before Carepatron, he was using a platform that felt complicated and fragmented. Booking, billing, communication, and documentation each needed their own steps. It worked, sort of, but the experience for new clients was rougher than he wanted it to be, and the admin weight was getting heavier the more he grew. So he started looking for something simpler.

The first change was the booking.

For most clients, the path to a first session wasn’t simple. Time zones turned into long message threads just to confirm an appointment. Payment options were limited. Invoices were made by hand, which meant errors, delays, and the kind of small admin work that piles up. For someone already nervous about reaching out for therapy, that friction isn’t neutral. It can be the reason they don’t go through with it. “Invoicing was manual and time-consuming, which increased the risk of errors and delays. For clients, this sometimes created anxiety before therapy had even begun.” With Carepatron, the whole flow collapsed into something a client could navigate on their own. One booking link. Time zones handled automatically. Invoicing that just happens. The moment Lufuno talks about most was a late-night booking from a client in Europe, who chose a service, picked a time, and confirmed the session without any direct contact with the practice. The next morning, they told him how relieved they’d been to find the process so simple. They called it stress-free. That was the word that stuck.

The bigger change was the room to grow.

With the booking side working, Lufuno could think differently about what his practice could offer next. Employee wellness programs. Recurring group sessions for organizations. The kind of work that would have meant juggling tools and tracking bookings across separate systems if he’d tried it earlier. “I can now organize group sessions, track bookings, schedule recurring programs, and keep everything in one place without juggling multiple tools.” The expansion has changed how the practice works with HR teams and participants. Communication is clearer. Scheduling is more reliable. The corporate side runs on the same setup as the one-on-one work, so the admin doesn’t grow every time the work does. “It makes our life easy.” For a counselor whose work spans time zones and service types, that kind of ease isn’t a small thing. The right foundation meant Lufuno could keep building out what his practice offers, without rebuilding the system underneath every time.
