Overview

In 2022, Dr. Missy Wolfman launched Empowerment Psychology as a solo practitioner in Auckland. By 2025 she was leading a team of seven to eight psychologists. Carepatron was the system that made scaling possible, not just by reducing admin, but by giving her the infrastructure to bring on a team.

Meet Dr. Missy Wolfman

Dr. Missy Wolfman is a Senior Clinical Psychologist and Director of Empowerment Psychology in Auckland, New Zealand. When she started the practice she was doing it all herself: paper clinical notes, Microsoft Word for documentation, manual reminders, hand-written invoices. Everything was fragmented across systems that didn’t talk to each other. ### “This fragmentation made the work feel unmanageable and cognitively exhausting, as I had to remember every administrative task myself.” Today the clinic runs on Carepatron. Scheduling, billing, notes, templates, and client management all live in one place, across every clinician on the team.

The most measurable change is scale.

Running a solo practice manually is hard. Running a growing one that way is impossible. In 2022, Dr. Wolfman had no integrated billing, no automated reminders, and no way to see across her caseload without pulling things from multiple places. Every administrative task ran through her: notes to write, invoices to chase, appointment confirmations to send by hand. Switching to Carepatron consolidated everything. Automated reminders, sent 24 to 48 hours before appointments and again two hours prior, immediately cut missed sessions, particularly for the clinic’s clients with ADHD and busy working parents. Invoicing became trackable. Notes, templates, and client files all lived in one system. Three years on, Empowerment Psychology has seven to eight psychologists on the team. In 2025 the practice was nominated for the Auckland Business Awards, and in the submission Dr. Wolfman named Carepatron as a driver of that growth. ### “We genuinely would not have been nominated for the Business Awards without it.”

The more meaningful change is oversight.

A practice run on personal tracking has no obvious place for a second clinician, let alone a seventh. The structure to hold a team simply wasn’t there. From one place, Dr. Wolfman can now view every clinician’s diary, assess capacity, and monitor invoices across the practice. She can see whether notes are being completed on time and step in when someone is falling behind, adding supervision notes directly into client files without needing a separate process. ### “I can review notes, add supervision notes directly into client files, and provide timely peer supervision. Without Carepatron, having this level of oversight, consistency, and accountability across a growing team would not be possible.” In 2022, Dr. Wolfman remembered every administrative task herself. In 2025 she runs a clinic of seven and the system does the remembering.
